Are you the person who always knows what still needs to get done?
Control Freaks Hawaii is looking for a highly organized Project & Service Coordinator to help keep our production team moving.

This position sits in the middle of our projects, service department, field technicians, electricians, warehouse, office team, and customers.

Your job is simple to describe:
Keep the train on the tracks.

This is not a management or decision-making position. You won't be expected to design systems, manage construction projects, or make technical decisions.

Instead, you'll make sure the decisions and plans that have already been made actually get executed.

You'll help coordinate schedules, track open tasks, follow up with employees, organize materials, communicate with customers, keep service calls moving, and catch the little things before they become big problems.

What You'll Do:
Your day may include:
  • Coordinate schedules for technicians, electricians, service calls, and project work.
  • Track open tasks and follow up with team members until they're completed.
  • Help project managers organize upcoming work into schedules and actionable tasks.
  • Dispatch technicians and adjust schedules when priorities change.
  • Communicate appointment times and updates with customers.
  • Make sure technicians have the information, equipment, and materials they need.
  • Follow up on service tickets, punch-list items, return visits, and unfinished work.
  • Keep work orders, schedules, customer information, and internal records updated.
  • Coordinate materials and equipment coming into and leaving the warehouse.
  • Receive deliveries and help keep the warehouse organized.
  • Stage equipment and materials for upcoming jobs.
  • Assist with inventory and parts tracking.
  • Help with general administrative and office tasks.
  • Notice when something has fallen through the cracks and help get it moving again.

Sometimes you'll be working at your desk.
Sometimes you'll be organizing equipment in the warehouse.
Sometimes you'll be tracking down a technician to find out whether something actually got finished.
That's the job.

The Person We're Looking For:
You do not need to be an AV, electrical, automation, or construction expert. We can teach you our industry.

We're much more interested in finding someone who is:
  • Extremely organized.
  • Dependable.
  • Detail-oriented.
  • Persistent about following up.
  • Comfortable juggling a lot of moving pieces.
  • Friendly and professional with customers.
  • Comfortable holding coworkers accountable.
  • Able to communicate clearly by phone, email, text, and in person.
  • Good at adapting when schedules change.
  • Comfortable working with calendars, task lists, work orders, and software.
  • Willing to jump between office work, scheduling, customer communication, and warehouse tasks.
  • Someone who takes pride in finishing things.

Experience in construction, electrical, low-voltage, AV, HVAC, property management, service dispatch, logistics, scheduling, or a similar environment is helpful, but not required.

Physical Requirements:
This is primarily an office and coordination position, but it is not strictly a desk job.

You should be comfortable:
  • Moving throughout our office and warehouse.
  • Receiving and organizing equipment.
  • Occasionally lifting materials up to approximately 40 pounds.
  • Spending portions of the day working on a computer and phone.
